Conference Room Scheduling

  • All of the schedulable conference rooms with their capacities are listed above.
  • Zimbra will be used for scheduling conference rooms
  • All rooms rooms larger than 100 sqft or seating eight or more people will be shared for the purposes of scheduling and use by all occupants of the SoM buildings 3155, 3165 and 3172 Porter Drive)
  • Some rooms will specify a group that has priority for scheduling and in any event please schedule the conference room closest to your group whenever possible.
  • Scheduling rights for all conference rooms are assigned to a small number of key administrators in each group.  A larger number of administrative assistants are assigned scheduling rights for the conference rooms local to their particular group.
  • "Phone Rooms" will be first come, first served although priority for phone room usage devolves to the group most proximal a particular room.
  • Access to SU All Hands Conference Room is through Maggie Saunders (madaca@stanford.edu) until further notice: 3160 (All Hands Room – 125 seats)

Audio Visual capabilities

There will be two type of AV equipped conference rooms.

  • Small and medium conference rooms will be equipped with:
    • Display – projector or LCD
    • Control system – SP or AMX (centrally controlled/monitored)
    • Audio conferencing
    • Computer connections
    • Expect that Web Ex/Med Meeting to be used for video conferencing
  • Large Conference rooms will be equipped with:
    • Display – projector or LCD
    • Control system – SP or AMX (centrally controlled/monitored)
    • Audio conferencing
    • Computer connections
    • Video conference – integrated with the display and control system
    • Some rooms will have PACS connectivity for Radiology

Support

Without additional funding, the standard AV support model that provides centralized operational support, maintenance, integration and trouble-shooting that is currently utilized elsewhere throughout the SoM, will not be available.  It will be the responsibility of the users of these spaces to support the operations and maintenance of the AV technology in the conference rooms and other break-out spaces.  A department may elect to buy some portion of an FTE from IRT to support the AV requirements of a specific space(s). Until such time as the funding is agreed upon to support an additional AV support specialist, there will not be call center support, formal training, regular maintenance or proactive upgrades of the AV technology, however, we will post instructions in the conference rooms and on this website.

    • To be managed by each department independently/investigating options for IRT support
    • IRT to support occupants of 3172

    • Utilize centrally managed server facilities
    • Space allocated in 3165 and 3155 for programs requiring on site servers for their research (fee associated)
