Conference Rooms Scheduling

  • Zimbra will be used for scheduling conference rooms at 3172 Porter Drive.
  • The Administrative Scheduling Network will be comprised of administrative assistants from throughout the SoM buildings at Porter Drive.  This group will be responsible for the scheduling and unscheduling of all of the conference rooms in SoM buildings.
  • The details of the scheduling policy will be available by December 1, 2012
  • All rooms rooms larger than 100 sqft or seating six or more people will be shared for the purposes of scheduling and used by all occupants of the SoM buildings (currently 3172 Porter Drive and in Mar-Jun 2013 will also include 3155 and 3165 Porter Drive)
  • Some rooms will specify a group that has priority for scheduling
  • "Phone Rooms" will be first come, first served

        Access to the SU All Hands Conference Room (seats 125 persons) at 3160 Porter Drive is through Maggie Saunders (madaca@stanford.edu) until a policy is formalized.

Audio Visual capabilities

There will be two types of AV equipped conference rooms.

  • Small and medium conference rooms will be equipped with:
    • Display – projector or LCD
    • Control system – SP or AMX (centrally controlled/monitored)
    • Audio conferencing
    • Computer connections
    • Use Web Ex/Med Meeting  for video conferencing
  • Large Conference rooms will be equipped with:
    • Display – projector or LCD
    • Control system – SP or AMX (centrally controlled/monitored)
    • Audio conferencing
    • Computer connections
    • Video conference – integrated with the display and control system

(Some rooms will have PACS connectivity for Radiology)
